Human Resources Coordinator

Location: San Francisco Bay Area/Southern California, California


Generally working under the HR Director, the Human Resources Coordinator provides day to day administrative and recruiting support for the HR department.


  • Full Cycle recruiting, this includes searching, cold calling, job postings, review resumes, schedule interviews, interviewing, participate in panel interviews, process background check and reference checks.
  • Manage complex schedules
  • Collaborate closely with hiring managers, recruiters, and other key stakeholders prioritizing timely follow up and follow through.
  • Draft offer letters for review.
  • I-9 verification and maintain I-9 file.
  • Assist with new hire training and orientation.
  • Process new hire data in the HR/Payroll systems.
  • Process DMV Pull Notices.
  • Process and maintain employee personnel and employment changes in the HR/Payroll systems.
  • Assists in implementing applicant tracking system (ATS).
  • Manage and maintain the applicant tracking system (ATS) to ensure the data is accurate and updated.
  • Assists in benefits enrollments and changes in ADP Workforce Now.
  • Answer employee requests and questions.
  • Process employee terminations.
  • Create and maintain personnel and benefit files.
  • Create and maintain new hire packets.
  • Maintain and update HR forms and checklists.
  • Assist with 401K audit information- gather transaction information as requested.
  • Assist with maintenance of HR-related information on the company Intranet.
  • Coordinate anti-harassment training for new hires and managers -maintain attendance records.
  • Respond to verifications of employment.
  • Respond to EDD requests
  • Maintain office supplies for HR department, including ordering labor law posters when needed.
  • Coordinate outgoing mail and distribute incoming mail.
  • Provide administrative support for the team with copying, scanning and faxing activities.
  • Handle sensitive and confidential information/situations and documentation.
  • Perform other related duties as required.


  • Bachelor’s degree in human resources or related field from an accredited university or equivalent work experience.
  • 2-5 years of experience in HR.
  • 3 + years of recruitment experience is a plus.
  • High ethical standards with demonstrated experience handling highly sensitive and confidential information.
  • Strong interpersonal, oral and written communication skills.
  • Excellent organizational skills.
  • Excellent Customer service, friendly and approachable.
  • High level of discretion and confidentiality.
  • Intermediate computer skills including Microsoft Office (Excel, Word, PowerPoint).
  • Ability to work independently and collaboratively.
  • Ability to produce accurate work (detail-oriented) and meet deadlines.
  • Ability to multi-task and prioritize within a very fast-paced work environment.
  • Demonstrated ability to be flexible, adaptable to change and dependable.
  • Desire to learn with natural initiative and curiosity.
  • Experience with HRIS systems, experience with ADP Workforce Now is a must, and Oracle Fusion is preferred.
  • Experience working with applicant tracking systems.
  • Experience implementing applicant tracking systems.
  • Experience with LinkedIn recruiter is preferred.
  • Experience working with scheduling and interviewing tools, such as MS Outlook, Teams, Zoom, etc.

Working Conditions

  • General office environment.
  • Occasional overtime work is required throughout the year.
  • Require standing, bending, sitting, walking, twisting and turning.
  • May require lifting up to 10 pounds.
  • Majority of the time is spent sitting/standing at a desk.
