Administrative Assistant – Building Dept

Location: San Francisco Bay Area, California


This position is under the general supervision of the Building Services Admin Manager.  Assuring a steady completion of workload in a timely manner is key to success in this position along with being resourceful, efficient, organized and comfortable being a member of a team.

This position is for our Foster City Office.


  • Quality control of all transmittals to prepare for logout process.
  • Assist Plan Checkers with stamping & collating hard copy plans.
  • Digitally stamp and collate digital reviews.
  • Compare hard copy plans with digital reviews for final approval.
  • Receptionist duties, including phone coverage, mail ordering supplies, scheduling conference room meetings, ordering lunch for meetings
  • Update Greenvue system with transmittals and approved plans.
  • Back up for Genentech website management when Plan Checker is out of office.
  • Book seminars and training for Building Department staff.
  • Assist with planning Building Department lunches and events when necessary.
  • Scanning plans and documents, along with converting Building library material to OCR.
  • Coordinate ordering of stamps for Building Department and Plan Checkers.
  • Perform other related duties as required.


  • 1+ years of experience as an administrative assistant is preferred.
  • Excellent verbal and written skills.
  • Some college is a plus.
  • Experience with Word, Excel, Outlook.
  • Ability to multitask at a fast pace environment.
  • Good attendance is a must.

Working Conditions

  • General office environment.
  • Occasionally may require lifting up to 20 lbs.
  • Ability to work independently or in a team environment.
  • Regularly requires working in sitting position at workstation for extended periods.
