Accounting Assistant I (AP, AR and Payroll)

Location: San Francisco Bay Area, California

Summary

This position is responsible for accounts payable, accounts receivable and payroll.

Responsibilities

Accounts Payable

  • Complete payments and control expenses by receiving, processing, verifying, and reconciling invoices.
  • Train employees how to input employee expenses.
  • Maintain petty cash accounts and log all outgoing disbursements.
  • Keep track of credits owed to the company and ensure all credits are properly applied to vendor payments.
  • Produce and file quarterly report of use tax.
  • Report California independent contractor information to EDD by filing Form DE 542.
  • Maintain copies of vouchers, invoices or correspondence necessary for files.
  • Analyze accounts payable monthly invoices for accrual estimate, including monthly communication with vendors for current monthly invoicing/estimates
  • Prepare, issue and file 1099s in compliance with the IRS regulations.
  • Coordinate and reconcile corporate card expenses.
  • Maintain vendor W-9s and liability insurance records.
  • File and maintain business licenses.

 

Accounts Receivable

  • Record client payments and transactions related to accounts receivable.
  • Contact clients for payment discrepancies.
  • Reconcile the accounts receivable ledger to ensure that all payments are properly posted.
  • Monitor accounts receivable aging report to ensure timely client payments while communicating with managers to ensure overdue invoices are addressed with client.

 

Payroll

  • Assist with processing of bi-weekly payments to employees and other payroll-related payments as required.
  • Review, correct and manage timekeeping records of employees.
  • Process manual entries, stop payments, refunds and termination checks as needed.
  • Maintain payroll information by collecting, calculating, and entering data.
  • Respond to payroll queries from employees in a timely manner.
  • Prepare payroll and PTO accrual journal entries.
  • Transmit 401K and FSA reporting to third party vendor accurately.
  • Review accuracy of W-2 forms.

Qualifications

  • Minimum of 3 years of recent experience with AP, AR and Payroll.
  • Must have experience with ERP systems, preferably Oracle Fusion.
  • Must have experience with payroll software, preferably ADP Workforce.
  • College degree with emphasis on Accounting or Finance preferred.
  • Strong computer skills and advanced knowledge of Word, Excel and Outlook.
  • Strong interpersonal skills with the ability to work across department.
  • Detail – Ability to perform detailed work with written or numerical data.
  • Communication – Ability to communicate orally and in writing clearly and concisely.
  • Time – Ability to prioritize, multi-task, and utilize the available time to organize and complete work within given deadlines.

Working Conditions

  • Occasional overtime work is required throughout the year.
  • Work in an office environment, sustained posture in a seated position for prolonged periods of time.
